Employer Portal Terms of Use
Scope note: these terms cover use of the Employer Portal itself — accounts, vacancies, and access to candidate information for a live recruitment process. They are not our commercial Terms of Business (fees, rebate periods, replacement guarantees). Those are agreed separately in writing and are not covered by this page — see docs/compliance/COMPLIANCE_DECISIONS_REQUIRED.md.
1. Account security
You're responsible for your organisation's authorised users and for keeping login details secure. Remove access promptly for staff who leave or change role — an organisation admin can do this directly in the Portal.
2. Vacancy information
Vacancy details you provide must be accurate and lawful, and recruitment decisions made through this service must be fair and non-discriminatory, consistent with the Equality Act 2010 and other applicable employment law.
3. Candidate confidentiality and purpose limitation
Candidate profile, CV and supporting information made available to you is provided only for the recruitment purpose it was shared for — assessing that candidate for that specific vacancy. You must not:
- share it onward to anyone outside your organisation's genuine recruitment process for that role without authorisation;
- use it to build a marketing database, or for any purpose unrelated to that recruitment;
- access supporting documents beyond what's genuinely required for that recruitment decision.
4. Handling downloaded documents
CVs and documents are provided via short-lived, individually authorised links, logged by who accessed them and when. Once downloaded, you must handle the copy securely and delete or return it once it's no longer needed for that recruitment process, subject to any of your own lawful retention obligations (for example, employment-record requirements for a successful placement).
5. Breach notification
If you become aware of a security incident affecting candidate data you've received through this service, notify us promptly at [email protected] so we can assess our own notification obligations.
6. Audit and misuse
Access to candidate information through this service is logged. We may suspend an organisation's or an individual user's access where we reasonably believe these terms have been breached, while we investigate.
7. Data protection roles
For the recruitment data we share with you about a candidate, we act as a data controller providing that information to you for a specific purpose; you are separately responsible for your own compliance with UK data protection law in how you handle it once received. See the Recruitment Privacy Notice for how we describe this to candidates.

We may update these terms from time to time; material changes will show a new version number and date here.
